Duties and Responsibilities:
The Academic Governance Administrative Assistant, reporting to the University Registrar, provides professional administrative support to the Senate Office, handling a wide range of tasks for the Brandon University Senate. Responsibilities include member onboarding, coordinating committee activities, managing membership elections, scheduling meetings, preparing materials, recording minutes, and maintaining Senate records. The role also involves analyzing policies, by-laws and records for compliance, responding to email inquiries, maintaining the Senate website and archival files, processing financials, assisting with budget monitoring, policy research, and producing reports. Additionally, the assistant helps organize Convocation ceremonies and ensures proper file management in line with best practices. Other relevant duties as assigned.
Required Qualifications and Experience:
The successful candidate must have a minimum Grade 12 plus a one (1) year office administration certificate and three (3) years of administrative experience, or a comparable combination of education and experience is required.
Proficiency in Microsoft Outlook, Word, and Excel is required, and experience with video-conferencing and collaboration tools like Zoom and Teams is an asset. The candidate must demonstrate strong organizational and communication skills (both oral and written), attention to detail, and the ability to manage multiple tasks efficiently. Strong analytical skills, discretion, collegiality, and initiative are essential in a deadline-driven environment.
