Duties and Responsibilities:

The Office Assistant for the Faculty of Arts plays a key administrative role, offering comprehensive support to over 60 faculty members, students, and the Dean’s Office. This position involves a range of responsibilities, including organizing the hiring of student assistants by creating job postings, collecting applications, completing necessary paperwork, and processing payroll. The role also includes preparing and processing course evaluations, updating web content and assisting with publications, managing certificates, and overseeing office supplies. Other tasks involve handling general office duties like typing, printing, and managing email inquiries, as well as coordinating travel arrangements for research grants, preparing correspondence, and overseeing room bookings and key allocations.  Other relevant duties as assigned.

Required Qualifications and Experience:

The successful candidate will possess a minimum Grade 12 plus a one-year Office Administration Certificate or similar program and have at least 3 years’ directly related experience. A comparable combination of education and experience may be considered. The ideal candidate must possess the ability to work with numerous interruptions and to take direction; is a proven team player; is highly motivated; works well with little direct supervision; possesses superior writing skills; is a multi-tasker; self-starter; and can provide excellent customer service.  The preferred candidate should demonstrate strong communication skills, as well as the ability to work collaboratively in cross-functional teams.  Experience with Microsoft Word, Excel, WordPress, and Publisher is required.
