2025 – Executive Assistant – Finance and Registration

The Executive Assistant provides confidential administrative services to the Vice-President (Administration & Finance) and supports general office tasks for the financial leadership team.

Duties and Responsibilities

The Executive Assistant is responsible for coordinating the schedule of the Vice-President (Administration & Finance), arranging meetings, appointments, and travel. Key responsibilities include the preparation of relevant meeting materials, maintaining confidential files, responding to general inquiries, and managing contact listings. The role also provides comprehensive administrative support, such as preparing committee materials, organizing meeting facilities, coordinating catering services, editing and distributing meeting minutes, assisting with reports and presentations, and maintaining the office website. Additionally, the Executive Assistant provides support with compliance-related functions such as FIPPA requests, assisting with data collection, redacting information as directed, and preparing correspondence. General office duties are required, along with providing administrative support on key committees, as well as other duties as assigned.

Qualifications

To be considered for this role, candidates must possess a one-year certificate in Office Administration or a similar program, along with a minimum of three years’ experience in a comparable position. A combination of relevant education and experience may also be considered. Experience within a post-secondary institution, the public sector, or a unionized environment is considered an asset. The ability to exercise discretion when accessing or handling confidential information is vital. Candidates must demonstrate strong interpersonal, organizational, and time management skills, and be able to work collaboratively with both internal and external stakeholders. Proficiency in office software is critical, and success in this role requires a high level of professionalism, attention to detail, and the ability to manage multiple tasks efficiently.

Salary: Excluded Support Staff III (ESS – III) position with a salary of $62,703.00 per annum.
